Working Capital for Agencies
Estimate how much cash your agency needs between paying project costs and collecting client invoices.
By business typeAdvertising, marketing and creator agencies often pay payroll, freelancers, production partners and media vendors before they collect from clients. A weekly forecast shows when that timing gap becomes a cash shortfall and how large it could get.
Build a weekly view of cash coming in and going out
- Start with the cash available for operating expenses today.
- List deposits, milestone payments and invoice collections in the weeks you expect the cash to arrive. Use actual collection history as well as contractual terms.
- Place payroll, contractor payments, production bills, media spend and overhead in the weeks they are due.
- Carry the ending balance forward each week. Compare the lowest projected balance with the cash reserve you want to keep.
Worked example: a Net 90 campaign invoice
Suppose an agency starts with $40,000 in available cash, pays $30,000 in week 2 and another $35,000 in week 5, and expects to collect a $100,000 campaign invoice in week 13. Assuming no other receipts or payments, the balance falls to negative $25,000 in week 5. If the agency wants to retain a $10,000 reserve, the estimated cash gap is $35,000. Run the forecast again with a late collection date and any bills due during the delay.
This example is illustrative. A cash gap estimate does not determine how much financing is available.
Use the forecast to decide how to cover the gap
Compare the weekly shortfall with any client deposit, milestone billing or changes to vendor timing you can arrange. Use the working capital gap calculator for a quick estimate and the 13-week forecast to model when cash is due. If you want to explore receivables-backed financing, review which invoices may qualify and what to prepare.
